POSITION TITLE:         Store Maintenance & Project Coordinator

REPORTS TO:               Manager - Store Maintenance Services

SUPERVISES:                (Indirect) Outside contractors and vendors

             

Purpose

Coordinates the efforts of outside service / repair contractors to maintain stores nationally.  Coordination and completion of projects on time within budget and within scope. Oversee all aspects of projects. Set deadlines, assign responsibilities and monitor and summarize progress of projects.


Responsibilities

  • Maintaining and monitoring project plans, project schedules, work hours, budgets and expenditures.
  • Ensuring project deadlines are met.
  • Determining project changes.
  • Undertaking project tasks and developing project strategies as required.
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Assess project risks and issues and provide solutions where applicable.
  • Ensure stakeholder views are managed towards the best solution.
  • Create a project management calendar for fulfilling each goal and objective.
  • Field and resolve store maintenance and repair reports as needed.
  • Field and resolve all store damage reports.
  • Field and resolve all mall negligence / responsibility reports.
  • Field and resolve all Fire Marshall Inspection reports.
  • Assist in soliciting, qualifying and awarding contracts to service contractors and vendors.
  • Assist in preparing budgets and estimates.
  • Coordinate transportation and warehousing efforts.
  • Negotiate and coordinate service contractor changes, additions and deletions.
  • Performs ongoing cost engineering, quality and performance checks.
  • Interface with Store Fixture, Project Design & Construction Coordinators to ensure implementation of warranty claims and store design improvements / projects.
  • Supports loss prevention and insurance departments.
  • Performing other duties as assigned.

 

Authority

  • Authorizes store repair work.
  • Negotiates landlord responsibility disputes.
  • Negotiates insurance and warranty disputes
  • Negotiates service contractor changes, additions and deletion costs.
  • Initiation, planning, design, execution, monitoring, controlling and closure of a project.

Qualifications

  • Bachelors in Architecture, Engineering, or similar field required.   
  • 3+ years experience in store maintenance services for a national retail, hotel or restaurant chain.
  • Knowledge of building, HVAC, and electric distribution systems.
  • Ability to read and understand blueprints and knowledge of construction terminology.
  • Ability to do material take-offs and estimates. 
  • Knowledge of building codes.
  • High degree of proficiency MS Office Suite, Outlook & Internet applications
  • Strong analytical, prioritizing, interpersonal, problem-solving, and presentation skills
  • Strong verbal and written communication skills
  • Demonstrated collaborative skills and ability to work well within a team
  • Ability to work with and influence senior management
  • Ability to work in a fast-paced and deadline-oriented environment
  • Self-motivated with critical attention to detail, deadlines and reporting.
