POSITION TITLE:            Executive Staff Assistant, Asset Protection

REPORTS TO:                   VP, Global Loss Prevention

SUPERVISES:                    N/A


POSITION SUMMARY:

Provide a fullrange of support for Global Asset Protection Team as a high caliber, knowledgeable, efficient

Executive Assistant.

 

RESPONSIBILITIES:

  • Manage and maintain the calendars (empowered to make judgment calls on time and calendar priorities)

  • Organize and facilitate meetings (off and onsite) as needed. Attend offsite meetings as necessary

  • Partner with other Executive Assistants to coordinate meetings and general administrative needs

  • Plan and execute domestic and international travel planning and expense reporting

  • Set up and maintain a streamlined and organized tracking and filing system for incoming / outgoing memos /

  • reports / correspondence

  • Print and organize daily / weekly / monthly sales, style roll recaps, and misc. reports

  • Daily email tracking, editing, filtering, and correspondence

  • Coordinate annual budget information

  • Responsible for composing memos and general correspondence

  • Assist in the creation and editing of speeches and presentations

  • Coordinate Performance Reviews with Human Resources & direct reports

  • Maintain accessible and uptodate organizational charts and succession planning materials

  • Manage library of Infographics, strategy documents and departmental information

  • Track holiday/PTO coverage and scheduling

  • All other duties as assigned

 

QUALIFICATIONS:

  • 4year College degree and / or commensurate experience

  • 13 years previous, relevant experience

  • Confidentiality and professionalism

  • Ability to maintain a flexible schedule

  • High degree of proficiency MS Office Suite, iCloud Outlook & Internet applications

  • Strong analytical, prioritizing, interpersonal, and problemsolving skills

  • Strong verbal and written communication skills

  • Strong project management (from conception to completion) & planning skills

  • Demonstrated collaborative skills and ability to work well within a team

  • Ability to work in a fastpaced and deadlineoriented environment

  • Selfmotivated with critical attention to detail, deadlines and reporting
