POSITION TITLE:               DC Shift Administrator

REPORTS TO:                     DC Operations Manager

 

POSITION SUMMARY: This position is the administrative backbone of the operations team.  This role is responsible for managing the shift’s various administrative functions that are necessary to running a smooth operation.  This includes being a go-to person on the shift for items such as time off needs, voluntary sign-ups, reporting, coordinating training activities, timecard monitoring /edits and tracking daily/annual metrics.

 

PERSONAL ATTRIBUTES: Ability to work well in a fast-paced environment.  Strong time management and attention to detail skills.  Superb communication skills and comfort engaging with all levels of the organization a polished and professional manner (written and verbal). Enjoys interacting with a variety of people, maintains a high level of confidentially, and approaches all conversations and interactions in a constructive, solutions-oriented manner.  Comfortable working with various systems and programs; and a demonstrated track-record of completing tasks on time and with a positive attitude.

 

 

ROLE & RESPONSIBILITIES:

  • Show Passion, Innovation, and Teamwork through a focus on People and Integrity—AEO’s core values!
  • Perform daily Kronos timecard audit including but not limited to: ensure accuracy of Kronos time and attendance records by reviewing all timecards, researching missing timekeeping punches/codes and making the necessary corrections.
  • Process Paid time off (PTO) and Reward Time requests.
  • Perform administrative functions including but not limited to: Over-Time sign-up coordination, checking call-off line, delivering paychecks, processing incentives and rewards, coordinating meeting and offer event planning support for various events (ad-hoc recognition/team, AE Foundation/Fun Committee, associates / executive chats, etc.).
  • Track and produce reports/metrics as needed (productivity reporting, hourly campus PTO, bonus/reward hours).
  • Assist in projects on an as needed basis.
  • Provide administrative support to DC Operations Managers and Supervisors.

QUALIFICATIONS:

  • High school diploma or equivalent
  • Strong verbal and written communication skills
  • Handle proprietary and non-routine information with utmost confidentiality
  • Exceptional customer service demonstrated through positive actions
  • Critical attention to detail, deadlines and reporting
  • Ability to prioritize and manage time effectively
  • Ability to identify and solve problems in a timely manner
  • Ability to work in a fast-paced and deadline-oriented environment
  • Demonstrated collaborative skills and ability to work well within a team

 

 

  • High degree of proficiency MS Office Suite, Outlook & Internet applications
