POSITION SUMMARY:
This position will provide administrative support to the Vice President of HR and Talent Acquisition while ensuring our business needs are supported through consistent support of both the HR and Talent Acquisition teams.

RESPONSIBILITIES:
General Administrative:
•    Support VP – HR and Talent Acquisition with calendar and expense management, taking the lead on scheduling for all team meetings 
•    Assist HR leadership team when traveling to NYDO 
•    Own all Ariba set up and processing in partnership with finance team
•    Prepare executive candidate decks for review by CEO and Executive leadership team 
Talent Acquisition:
•    Coordinate candidate in person and/or virtual interviews; working closely with recruiting team  
•    Greet & manage candidates through their schedules in the office 
•    Ensure seamless process for candidate and internal teams on all video interviews
•    Create & communicate candidate itineraries (specifically for traveling candidates to NY and Pitt offices from out of town)
•    Assist with candidate process in Taleo – creating requisitions, candidate profiles, offer letters, monitoring hiring process and onboarding, partnering with HRIS team when necessary
•    Process sign-on bonuses and referral bonuses with Payroll as needed
•    Partner with Benefits team to assist in candidate relocation process
•    Process candidate reimbursements with Travel Dept. as needed
•    Support TA team with reference checks and background screens; partnering with Loss Prevention team and external vendors when necessary
Human Resources:
•    Work closely with Onboarding and HRBP teams to support new hire equipment needs in the office and or remotely 
•    Manage Kronos for Executive Staff Assistants - support daily updates to punches and closing payroll bi-weekly (timesheet approval), PTO tracking for NY ESAs
•    Maintain and update org charts and job descriptions for HRBP teams; post open positions to Taleo

QUALIFICATIONS:
•    Bachelor’s Degree; one year of office administration experience; Fashion/Retail HR or Recruiting experience a plus
•    Strong written and verbal communication skills as well as strong attention to detail
•    Ability to use discretion with confidential information
•    Must possess presence and command as well as the ability to engage with senior level candidates and executives
•    Proficient in Outlook, Power Point, Excel and Microsoft Word programs
