POSITION TITLE:                  Benefits Manager

REPORTS TO:                  Director of Benefits

This position is to serve as the employee benefits subject matter expert for AEO Canada. Provide vendor and broker management with all existing and future business relationships, with a focus on leveraging relationships, creating efficiencies and producing fiscally responsible outcomes.  Offer high-level customer service to Associates with an in depth knowledge of benefit programs, company policies, compliance and administrative procedures. Heavy focus on process improvement, adherence to compliance regulations, and improved communication and engagement efforts with Associates, HR business partners and executives.

  • Manage the company annual Open Enrollment project plan and execution. 

  • Develop communication efforts for all levels of Associates across all business units, including executives.

  • Assist and partner with internal departments on benefit offerings and CBA negotiations for distribution center associates.

  • Lead issue resolution; develop and implement ongoing benefit program communications and an annual communication schedule.

  • Partner with HR team, Payroll, Legal, Health & Safety and other internal departments in support of administering Health & Welfare Plans for Canada.

  • Manage ongoing vendor, insurance providers, brokers, and consultant relationships, assessing performance regularly.

  • Responsible for the daily administration, oversight and support of Associate benefits: including, but not limited to:  medical, dental, vision, life insurance, ancillary benefit programs/offerings, well-being programs, leave of absence and disability claims, maternity leaves procedures. Manage, analyze and update Group Savings plan for Canada.

  • Serve as a liaison between the company and Associates with various benefit vendors on enrollment and claims issues.

  • Develop, implement and adhere to 3-year and 5-year strategic plans that align with the goals and objectives of the company.

  • Ensure compliance with benefit plan provisions, corporate policies and various statutory requirements with the Employment Standards Act. Research and provide recommendations for issue resolution.

  • Conduct ongoing analysis of plan designs, trends and utilization. Develop recommendations for program improvements resulting in increased quality, effective administration, and enhanced service for plan participants. 

  • Conduct administrative activities associated with WSIB and have oversight of Windley Ely for Worker’s compensation claims.

  • Implement changes to plans to facilitate administration and support of AEOs culture, business needs and budgetary goals.

  • Lead RFP processes as determined necessary; share results and recommendations with leadership.

  • Ensure proper implementation and communication of all plan design changes, including system and procedural changes.

  • Maintain data integrity within and across systems; conduct monthly, quarterly and annual system audits to reconcile discrepancies, identify and resolve issues. Monitor data interfaces and accuracy.

  • Participate in annual compensation and benefits surveys and benchmarking exercises.

  • Maintain complete and up-to-date process documentation and provide ad hoc reports as needed.

  • Perform other related duties and participate in special projects as assigned.

  • Bachelor’s Degree in Human Resources, Labor Relations, Business Administration or equivalent required.

  • Must have a strong attention to detail, problem solving skills, be an independent thinker and be self-directed/self-motivated.

  • 5+ years Benefits experience required with emphasis on multiple locations.

  • 3+ years experience required in leaves of absence and disability benefit administration.

  • High degree of proficiency MS Office Suite, Outlook & Internet applications.

  • Strong prioritizing, interpersonal, problem-solving, presentation, & planning skills; strong verbal and written communication skills.

  • Demonstrated collaborative skills and ability to work well within a team, influence peers and senior management.

  • Ability to work in a fast-paced and deadline-oriented environment.

  • Knowledge of ADP Enterprise payroll system, Oracle Fusion HRIS and/or Kronos systems a plus.
