POSITION TITLE:  Analyst – Product Safety and Regulatory Compliance

REPORTS TO: Manager, Vendor Compliance & Enablement                  

 

POSITION SUMMARY:

The Analyst of Product Safety and Regulatory Compliance is responsible for carrying out the functions related to product safety and labeling/packaging compliance for AEO.   The Analyst will collaborate cross functionally with internal Legal Counsel, 3rd party Laboratories, Quality Assurance, Production, Merchants and Vendors.  This role will also support the overall initiatives of the Vendor Compliance & Enablement department which include vendor set up, training, chargebacks and packaging initiatives.

RESPONSIBILITIES INCLUDE:

  • Provide day-to-day guidance to internal departments to ensure business activities are conducted in compliance with applicable regulations for AEO, Tailgate, and Todd Snyder brands.  Escalate matters of importance to Manager
  • Conduct quarterly Restricted Substance list (RSL) audits to maintain compliance with global requirements for the countries in which we do business
  • Monitor and analyze vendor testing results including the completion and passing of tests before goods are shipped
  • Assist with the qualification of new and existing suppliers and vendors specifically related to product safety
  • In collaboration with internal legal counsel, assist in product safety and compliance related training initiatives to included training material development and training presentation to vendors and internal business partners
  • As necessary, coordinate with functional teams on periodic compliance audits, including reviews of standard operating procedures, manuals, operational checks and balances and management controls to identify problems and to recommend corrective actions
  • Review and approved testing invoices; assist with reporting related to testing spend
  • Minimize risk to the company by carrying out the following functions:
    • Attending product review meetings and provide regulatory guidance
    • Review, analyze and approve all testing waivers/exemptions
    • Review and approved packaging and on product marketing
    • Identify and report to Manager any potential violations of product compliance regulations and implement process improvements to mitigate risk, including but not limited to product testing failures, and metal detections in ways that minimally burden business units
    • Conduct website reviews for regulatory compliance
  • Manage chargeback process for all entities and partner with vendors to create action plans to address specific compliance concerns
  • Work with vendors to address and improve processes related product safety
  • Support the Manager with the design and implementation of programs, policies and best practices to ensure that all products are in compliance with applicable international, federal, state and local regulatory requirements
  • Stay informed of laws and regulations that have the ability to impact the business
  • Serve as liaison with outside testing organizations
  • Assist with Vendor Compliance & Enablement initiatives to improve overall vendor performance

ADDITIONAL RESPONSIBILITIES:

  • The ability travel to distributions centers, sourcing offices and other locations as needed.
  • Coach and train internal and external partners on business process changes, provide engaging training in a variety of formats to ensure learning is optimized.
  • Collaborate with external and internal partners to identify and resolve compliance issues
  • Analyze systems and processes to provide recommendations for enhancements to reduce processing time, improve accuracy and innovate across all Operational Compliance responsibilities.
  • Analyze current processes to identify positive or negative trends with individual vendor’s performances.
  • Represent AEO with integrity in all situations.
  • All other duties as assigned.

QUALIFICATIONS:

  • Bachelor’s Degree in Business Administration, Supply Chain/Logistics or related field
  • 2-4 years experience in Product Safety, Supply Chain, Testing, Product Development, Quality Assurance
  • Strong analytical, problem-solving skills; ability to identify trends within large data sets and make recommendations based on analysis
  • Excellent verbal and written communication skills; demonstrated ability to explain required processes and problems to internal and external partners to arrive at workable solutions
  • Self-motivated and driven; ability to keep pace a fast and deadline-oriented industry/working environment
